This article describes the terms we commonly use to describe the various components and interactions built into TreatAnyone.

Academy |

Alert |
A short text message sent to a referrer or collateral contact notifying them of either a missed appointment (Appointment Alert) or an incident that occurred during a session (Status Alert). Alerts are delivered instantaneously. |
Analytics |
An engine in TreatAnyone responsible for calculating various metrics and compliance data. |
Attendance |
A record of the Client’s past participation in individual and group sessions. Clients can be present or absent. Subscribers can define custom attendance labels. |
Attendance Alert |
A type of Alert. See "Alert" above. |
Enrollment |
Represents an inbound referral to a Subscriber. A Client can have multiple Enrollments over time and multiple Enrollments at the same time. Within each Enrollment the client has a separate Referrer, Client Type, Referral Date, and Clinical Chart. If a Client is treated by multiple Subscribers, that Client will have multiple Enrollments belonging to those Subscribers, but available to the Client if they log into the TreatAnyone - Client portal. |
Chart |
A collection of clinical artifacts produced during the course of treatment. They include notes, alerts, assessments, homeworks, treatment modification plans, and clinical reports. |
Collateral Note |
A collateral note describes an incidental interaction about a client or with a client outside of a regular session. Collateral notes are part of a client’s profile. |
Compliance |

Free Trial |
The amount of time the subscriber has to evaluate the product and make a decision on whether they want to pay for our service. During the Free Trial, the subscriber will have access to the "Clinic" subscription leve, meaning that they will be able to enjoy the full scope of TA's features. At the conclusion of the Free Trial, the subscriber must make a decision on the subscription level AND provide their payment details. |
Grace Period |
The amount of time after the free trial or non-payment, the subscription owner (or authorized user) can provide payment details (or update expired payment details) before the account is permanently rendered inaccessible (soft deleted). After the expiration of the Grace Period, the subscriber would need to create a brand new account if they want to continue with TA. The length of the Grace Period is defined to be 30 days. |
Homework |
Some clients can be assigned homeworks to, for example, express empathy toward their victims. Hard copies of homeworks are typically handed in by clients. They could be scanned and uploaded. They can also be filled out online by Clients via the Client Portal. |
Metrics |
A summary overview of items such as compliance, utilization, and caseload. This view typically includes charts and graphs. |
Modality |
Modality refers to whether treatment is being delivered to individuals, couples, families, or groups. |
Note |
A clinical note in a case chart. TreatAnyone supports Progress Notes which are associated with appointment and Collateral Notes which are general notes made during the course of treatment. |
Organization |
The entity that referred the client to the Subscriber. |
Partnership |

Process Note |
A process note is equivalent to the clinician’s private diary. Noone else should have access to process notes, not even the supervisor. Process notes are never a part of the client’s file and can never be subpoenaed. |
Progress Note |
A progress note describing the interaction between the clinician and the client during a session. Progress notes are part of the client’s profile and can be subpoenaed. |

Primary Staff |
Primary Staff is a person who is responsible for completing assessments, reports, and other required clinical documents for a case. This person is also attributed with any unpaid balances. Each case must be associated with a Primary Staff. If this field is left bank during the Bulk Upload process, the person performing the upload will be assigned as the Primary Staff. The Primary Staff assignment can be changed at any time by an Administrator. |
Program |
A specific treatment program tailored to the needs of a Client. It may include requirements such as frequency of group and individual sessions, frequency and types of assessments, homework assignments, and graduation criteria. |
Publishing |

Referrer |
The specific agent or person assigned to the client, from the referring Organization. |
Referral |
Outbound referral from a Subscriber to a third party specialist such as a Psychiatrist or Polygrapher. |
Research |

Role |
Describes the capacity in which a staff member is participating on the treatment team of a client. For example, Jane whose title is LCSW can be the Group Facilitator on John’s (client’s) treatment team. |
Staff |
A TreatAnyone user who is involved in the provision of mental health services of a client or who performs administrative functions in the system. A staff can be both clinical and administrative, depending on their privileges. |
Status Alert |
An urgent alert sent to notify a referrer of an incident, and emergency, or an incident that occurred in session. Also see "Alert" definition. |
Specialization |
Refers to Offerings or Enrollment Statuses to describe a situation when a particular item only applies to one or more Enrollments. For example, Personal Consultation may be an example of an individual session specialized for use in General Therapy only. Specialization may also refer to modality in which an Offering or a Status is being used (e.g. Individual, Couples, Family, or Group). |
Task |
A task is something that a staff member needs to do. In TA tasks can be assigned by the system or by other staff members. For example, if a staff is treating client Joe and that client has to have a Monthly Treatment Report (MTR) created on the 5th of each month, TA will automatically create a task for this staff to create an MTR for Joe. Also if staff A needs to get staff B to work on something which doesn't even have to relate to treatment, they can create a custom task. For example, a custom task can ask to read a research paper, remember to call a referrer, etc. A staff can also create a task for another staff asking to create a clinical report or assessment. In the future this concept will get extended to assigning tasks to clients and referrers. |
Title |
The common word or phrase used by staff’s colleagues to refer to that staff, for example, “Licensed Clinical Social Worker,” “Counselor,” or “Coordinator.”. In case of a referrer, a common word of phrase used by staff to address the referrer, for example “Agent of Record,” “Judge,” or “Probation Officer.” |
Use |
Refers to the organizations that use a particular Offering. |
Treatment Modification |
A deviation in terms of the client’s treatment. For example, an increase in the usual number of sessions. |
